Overview

 

The Food and Beverage Administrative position will handle all administrative duties for the Food and Beverage Director. 

Responsibilities

  • Fulfill administrative duties assigned by the Food and Beverage Director.
  • Write announcements for promotions and new team members as requested.
  • Create announcements for Food and Beverage offerings for holidays and special events.
  • Schedule meetings/appointments for the Food and Beverage Director.
  • Birchstreet ordering:
    • Food and Beverage office supply ordering as needed.
    • Handle holiday invoice processing as requested.
  • Complete and file Food and Beverage Manager expense reports.
  • Handle special events approved by the Director of Food and Beverage.
  • Special Event coordination includes the following:
    • Meet and correspond with clients during the initial phase of the buyout details.
    • Work with the Executive Chef and or Chef de Cuisine for menus and buffets and seating configuration with the department managers.
    • Work with the Department Managers for all logistics and timing for the event up to and including PSAV requirements.
    • Reconcile billing accuracy with accounting for all buyout events.
  • Take notes for F&B planning meeting/walkthroughs and send out as requested by the Food and Beverage Director.
  • Coordinate Music and Entertainment scheduling and billing from talent agents.
  • Assist with power points, spreadsheets, other documents as requested by the Food and Beverage Director.

Additional Duties & Responsibilities:

  • Lead contact for Openable administrate duties for all venues to ensure all online menus are updated and accurate. Ensure that all pertinent data for venues are updated as needed.
  • Lead contact for FairHarbor administrative duties for all venue to ensure all offer details are accurate and up to date.
  • Requires high morals, ethics, organization, and a high commitment to this role.

Qualifications

  • Must be able to speak, read, and write English
  • Requires good communication skills, both verbal and written.
  • Must possess basic computational ability.
  • Must possess basic computer skills.
  • Requires organizational skills for a variety of tasks, including, but not limited to: scheduling meetings, effectively communicating to employees, and upholding Terranea standards.
  • Must be able to exhibit fairness and impartiality to employees.
  • Ability to prepare and analyze data, figures and transcriptions prepared on and generated by computer.
  • Knowledge of hotel Food and Beverage operations.
  • Knowledge of food and alcoholic beverages.

Experience, Education, & Licensure:

  • Must have a minimum of 2 years’ experience in a administrate role.
  • Must have basic knowledge the following applications
    • Opentable
    • FairHarbor
    • Single Platform
    • Birchstreet
    • All Microsoft applications
  • Previous guest relations training preferred
  • Previous experience in hospitality industry, preferably a 4/5 star hotel

Compensation:

Base Pay Start Rate: $27.72/hr
